If you want to impress existing or potential customers, sometimes it’s necessary to look like a larger operation. There are many things you can do to create the illusion that yours is a bigger operation, yet the creation of a dynamic virtual office environment is becoming more common.
VoIP (Voice over Internet Protocol), also known as ‘Internet telephony’, has given many companies new and innovative ways to promote themselves and run their operations. Businesses are no longer shackled to the bricks and mortar of a physical office. Home-based businesses can just as easily create a virtual office environment that helps them compete with much larger organisations.
There are numerous highly successful small businesses and sole traders that augment their operations by creating a virtual office. Now you can sit at home working a full eight-hour day from your living room and still give off a professional image thanks to modern technology.
VoIP can offer your business many advantages and cost-savings. To help promote your business effectively – regardless of your location or size – you can produce a professional greeting message so that when a customer telephones, they are formally welcomed in style. Larger businesses can usually afford to do this, but up until recently, not the little guys. However with VoIP, it’s all part of the package.
Using VoIP, you can also give a caller on hold some nice music to listen to. Sounds expensive? Not with VoIP, because it comes with even the most basic packages, you just upload some music and away you go. You can even record your latest sales offers to be played over the on-hold music.
You can also create, edit and arrange your voicemail prompts from one computer or change your answer phone message wherever you are in the world. You can also have all calls conveniently routed directly to one number.
You can also send and receive faxes from a single laptop, without needing a cumbersome fax machine, so your office can go with you anywhere that you go.
Of course, one of the main advantages of using VoIP for a virtual office is cost. Rather than the capital expenditure involved in creating real offices and then having to cover rent and other overheads, virtual offices offer many of the same services yet with complete flexibility and freedom at a significantly lower price.

a best guide on virtual office topic. It covers all the essential points and I really like this part of the information.
I agree, low cost cloud computing gives the small business access to the same technologies that are being used by far larger companies, allowing them to compete on a more level playing field. The cost savings and flexibilty can be significant, but more importantly for a lot of start-ups and small businesses it offers the chance to present a much larger company image. A hosted PBX is the first step, your phone system is the first point of contact for many customers and anybody who is engaged, missing calls, not getting voice mail or failing to call people back is loosing business from the outset. Hosted PBX's are cheap and can provide a major advantage for small businesses in terms of professional image and customer experience.

This technology is great for little businesses - one of the major reasons small business go under is because they can't afford all the costs that come with setting up and running a business. Many businesses are looking towards the virtual world with many big companies using virtual assistants to help run their businesses whilst keep costs to a minimum.
